any programmes or meetings

Secretary/Administrator

Your duties will be varied and include:
·
Typing and presenting of reports, tenders, and health & safety
documents
·
All secretarial and administration duties for Health & Safety
manager and for senior engineer
·
Liaising with sites throughout the Greater London area
·
Keeping all office administration up to date
·
Knowledge of excel essential, Powerpoint an
advantage
·
Occasionally organising events including golf days and charity fund
raisers.
Ideal candidate will have up to the minute IT
skills, excellent written and spoken English
Executive

Main purpose of the role:

Provide
administrative and communications support to two Main Board Directors
·
Assist
the Organisation Development consultant.
·
Ensure
documentation is produced within the company’s procedures.
·
Contribute
to the smooth running of the department.
·
Operate
as a key contact between all departments, functions and business units.
·
Seek
continuous improvement and proactively drive change within the department.
·
Deliver
a professional and credible service on behalf of the department.
The successful candidate will have previous
experience in an administrative/ secretarial role, excellent MS Word,
PowerPoint and Excel skills and the ability to discretely handle sensitive
and confidential material.
Qualifications
required; At least 5 GCSE Grade Cs including English & Maths (or
equivalent)
Administrator required for the Plant Department of a large construction company.
Salary
dependent upon experience.
37.5
hour week.
The
successful candidate will report directly to the Plant General Manager and
provide day to day administration assistance to the Plant team.
Duties
include:
Ensure
all car renewals are in line with Departmental requirements
Diarise
and chase all renewal decisions from drivers.
Enter
all cars onto the company system.
Processing
of all mileage returns in an effective and timely manner.
Complete
monthly board report data for Plant Director
Coding
of all short- term hire invoices and passing for payment.
Provide
the Accounts Department with lease car/ fuel card status report on a
monthly basis
Ensure
cost of vehicles are allocated to the jobs
Open
new supplier accounts as required
Tachomaster data retrieval and analisation
Processing
of all penalty charges and speeding offences
Ensure
cost of vehicles are allocated to the relevant jobs
Key
requirements;

Previous
experience working in a Plant/ Plant Hire office is beneficial
·
Experience
using Microsoft Office
·
Must
be able to work well under pressure
·
Excellent
organisational skills
