Our Services

We will expect our personnel to visit all our sites at least once a month and more often if necessary. This is in addition to evening meetings with clients.

With regard to gardening, cleaning and maintenance, it is our policy to have these duties carried out by separate contractors, appointed by competitive tender. This is primarily so that if any aspect of the running of an estate or property (e.g. cleaning) is not up to standard, then that particular contractor can be replaced without disrupting the other services that are being carried out satisfactorily. This can also result in cost savings as smaller local contractors can be considered for the job, rather than one large company providing all the services.

In addition to the services of Managing Agent, senior partner Derek Lee also acts as the Company Secretary for the majority of our clients. The typical duties undertaken in each of these roles is set out below, but our services can be tailored to fit exactly the requirements of each client.  If you require any further information, please see details for contacting us.

Set out below are the typical duties we would expect to carry out when employed in the role of Managing Agents to a Residents' Company.


THE MANAGING AGENT
  1. To advise the Clients on all aspects of estate and property management. 
  2. To administer gardening, repair, maintenance, redecoration and emergency work on the Estate as required. This may include preparing work specifications, obtaining competitive quotations for these services, following up references and inspecting work done. 
  3. To administer claims on the company's insurance policy. Also, to advise the Clients on insurance cover and obtain quotations, if required.
  4. To receive invoices (e.g. for gardening, maintenance work, electricity etc.) and settle them on behalf of the Company from allocated funds; however it may be required that some invoices are first referred to the Clients for approval.
  5. To prepare estimates of future costs and advise the Clients when the annual service charge is set.
  6. To issue service charge demands to residents on behalf of the Clients; collect service charges and ground rent - allowing instalment payments by standing order; monitor payments received; send reminder/chaser letters when appropriate and report problems to the Clients.
  7. To maintain adequate records of income and expenditure up to trial balance and provide the Clients' auditors with all the necessary information when they prepare the annual accounts. Also, to provide the Clients with statements of income and expenditure, on a regular basis and on demand
  8. To handle queries and complaints from residents, reporting and referring to the Clients when appropriate
  9. To provide both day-time and (for use by Directors only) emergency night-time and weekend telephone contacts.
  10. To attend the Annual General Meeting of the Company and regular meetings of the Clients. Also, if it should prove necessary, to inspect the Estate with the Clients. Note that such meetings may be in the evening or at weekends.

Set out below are the typical duties we would expect to carry out when employed in the role of Company Secretary to a Residents' Company.


THE COMPANY SECRETARY
  1. To hold all records relating to membership of the company and allow the Secretary's business address to be used as the registered address of the Company.
  2. To answer enquiries from solicitors and mortgagees relating to re-sales and to ensure all requirements of the lease are met prior to issuing new share certificates
  3. Deal with general correspondence.
  4. Attend regular Clients meetings, to take minutes and despatch fair copies to all Clients within 14 days of the meeting to which they relate.
  5. Prepare all documents and papers relating to the Annual General Meeting and to attend said meeting to take minutes.
  6. Prepare Company Annual Return as required by the Registrar of Companies.
